Minutes of the Kansas Academy of Science Board Meeting of April 16, 2004


The Board of the Kansas Academy of Science met at 10:00 AM at the Rockhurst College in Kansas City Missouri. Meeting was called to order by KAS President James Taylor. .

Board members present: James Aber, Mike Everhart, Joanna Foster, George Potts, David Saunders, James Taylor, and Jim Triplett.  

The minutes of the February 13, 2004 were read by and approved.  

President James Taylor thanked all involved in preparation for the 2004 Meeting.

Johanna Foster reported 87 registrations for the meeting and more were expected.

Taylor read the updated Treasurer’s Report prepared by Brenda Oppert:
Checking: $25,870.78
Savings         8,885.43
New CD     15,000.00 (Endowment)
Total         $49,756.21

James Aber reported on the BioOne electronic publishing services and shared a summary of  their 2003 report. Activity on the sales of Transactions papers (since 2001) in the BioOne account was not high enough to generate income.

Johanna Foster led a discussion of student awards for the 2004 KAS Annual meeting. Based on the number of papers and posters submitted by undergraduate and graduate students, a motion was to provide a 1st and 2nd place award in undergraduate, Masters and PhD oral papers, and a 1st, 2nd and 3rd  place award in student posters. The amounts of the awards are $100 for 1st place, $75 for 2nd place and $50 for 3rd place. Motion carried.

A discussion of setting up standardized judging criteria / forms for future KAS meetings was postponed to the summer meeting.  

James Aber reported that the Spring Edition of the Transactions (Vol. 107, 1-2) generated about $3125 in income, which almost completely offset the cost of the publication.

A discussion was held regarding the KAS editors providing PDF (.pdf) files of a paper for the authors of the papers published in the Transactions. James Aber noted that the arrangements with our publisher, Allen Press, do not prevent us from doing so. The process of making a .pdf file from the electronic file submitted to Allen Press is done by the computer and involves minimal time and cost to the KAS.  David Saunders made a motion to provide the .pdf files to the authors for a charge of $25 per file, and to re-evaluate the issue in one year. Motion carried.

On the same subject, James Aber mentioned that Hi-Beam is also providing electronic copies of papers in the Transactions through Info-Track (Gale Group). Questions have been raised regarding the contractual arrangement with KAS and shared income from the sale of those papers. The discussion was referred to Treasurer to see what arrangements had been made previously.

George Potts brought up the question of scanning the Transactions to preserve them, and to provide copies on CD. Suggestions were made to have the work (scanning) done by students. The discussion was postponed to the summer meeting.

David Saunders reported on the issue of KAS Research Grants and provided written copies of the proposed process for applying for and obtaining such grants ($500 for graduate students / $250 for undergraduates). The proposal was discussed and modifications in the language of the instructions were suggested. Mike Everhart made a motion to approve with modifications. Seconded by Johanna Foster. Motion carried.

Larry Skelton (Nominations Committee) reported that he had one person to nominate for the council and one for an officer (2004 elections).

The 2005 KAS Annual meeting was set for Johnson Community College in Kansas City, Kansas, in March (earlier than usual date).

The 2006 meeting is tentatively set for Wichita State University per Larry Skelton. Mike Everhart will get in contact with WSU for further information.

James Taylor reported (via email from Amy Strong, KJAS) that the Kansas student had an excellent time at the national Junior Academy of Science meeting. Discussion followed and it was agreed to put consideration of funding of such trips by the KAS on the agenda of the summer meeting.  

The 2004 KAS Fall Field trip to Cheyenne County (last weekend in September?) was discussed. Arrangements need to be confirmed. Tabled for summer meeting.

The 2005 KAS Fall Field trip was tentatively set for Cheyenne Bottoms (Barton Co.)

The 2006 KAS Fall Field trip may be to the Shimmerhorn Park in Cherokee County per James Triplett.

A brief discussion was held regarding publicizing events in the KAS Newsletter and Transactions. Discussion tabled until the summer meeting.

The summer meeting will be held July 9 at James Aber’s house at Lake Kahola near Emporia. Driving directions will be forwarded ahead of the meeting.
